Position Overview: Your responsibilities will encompass coordinating workflow, facilitating communication, and overseeing administrative functions critical to the efficient functioning of the Chief Digital Officer's office.
Responsibilities
- Coordinate the workflow within the CDO's office, including handling correspondence, Cabinet and Legislative Assembly documents, and preparing strategic submissions and reports.
- Act as a liaison between the CDO and key stakeholders, including ministers, senior officials, and Directors-General.
- Provide high-level executive administrative support to the CDO and the Group, including managing incoming and outgoing communication, prioritising tasks, and preparing confidential correspondence.
- Coordinate reporting activities, including preparing meeting agendas, papers, and recording minutes.
- Monitor correspondence tracking systems to ensure timely responses and quality control.
- Evaluate and take appropriate action on reports and submissions to ensure accuracy and relevance.
- Monitor customer relations correspondence and ensure timely responses.
- Provide leadership to a team of Executive Assistants, ensuring tasks are completed within required timeframes.
- Directly supervise an Executive Assistant.
Skills and Knowledge Required:
- Expert-level proficiency in MS Word, MS Excel, MS PowerPoint, and Outlook.
- Advanced knowledge of Government business and administrative processes.
- Effective planning, organising, and prioritisation skills to manage competing priorities and meet deadlines.
- Ability to establish and maintain effective strategic partnerships with senior stakeholders and clients.
- Analytical thinking skills to make rational judgments and integrate issues.
- Advanced communication skills, both verbal and written, with the ability to present information clearly and logically.
- Adaptability and resilience in high-pressure and diverse environments.
