Job description

THE ROLE

Join a dynamic team within the Information Technology Branch and support the delivery of critical IT projects that make a real impact. We're seeking a motivated and detail-driven Program Advisor to work closely with Project Managers, supporting one or more projects and ensuring smooth and efficient project operations.

KEY RESPONSIBILITIES

As a Program Advisor, you will:

  • Provide essential project support within a PRINCE2 environment.
  • Assist Project Managers with the preparation and quality assurance of key project documentation including initiation documents, work packages, and status reports.
  • Maintain and update project schedules including:

  • Weekly schedule reviews with Project Managers.
  • Timesheet tracking and activity allocation.
  • Monitoring actuals and forecasting.
  • Managing project leave calendars.
  • Ensuring accurate resource allocations and forecasting.
  • Prepare detailed financial reports: reconcile and report on budgets, actuals, forecasts, variances, and billing information.
  • Maintain and review change, risk, and issue registers.
  • Take on additional tasks as required, with quarterly KPIs guiding performance.

ESSENTIAL SKILLS AND EXPERIENCE

  • Strong background supporting IT projects in both public and private sector environments.
  • Proven ability to manage detailed documentation and project artefacts.
  • Excellent financial acumen with experience preparing and reconciling financial reports.
  • Experience in managing and updating project schedules, timelines, and resource tracking.
  • Familiarity with change, risk, and issue management frameworks.

HIGHLY DESIRABLE

  • Experience with Microsoft Project or similar project management tools.
  • Exposure to or understanding of PRINCE2 or other structured project management methodologies.
