Job description

The agency is embarking on a significant transition, migrating from SharePoint 2013 to SharePoint Online, and are seeking a dedicated Training and Change Management Specialist to guide their teams through this exciting journey.

Your primary responsibility will be to develop and deliver end user training for various business units. This role requires early engagement with our business units, facilitating user acceptance, and ensuring a smooth transition to SharePoint Online. Effective internal communications, training development, and support delivery are key elements of this role.

Key Responsibilities:

  • Training and Change Management Plans: Develop and manage training and change management plans that align with the project's objectives and deliverables.
  • Stakeholder Engagement: Initiate and maintain productive working relationships with internal stakeholders to encourage the adoption of SharePoint Online.
  • User Acceptance and Buy-In: Guide and encourage end users to embrace the change by promoting the benefits of transitioning to SharePoint Online, setting clear expectations, and addressing feedback promptly.
  • Internal Communications: Prepare and deliver consistent communications, including workshops, key messaging, and materials, to keep all business units informed about the migration, fostering resilience and gaining user buy-in.
  • Upskilling: Provide training to current SharePoint 2013 end users to ensure they are proficient with SharePoint Online functionality. This includes demonstrating key differences and upskilling on Microsoft 365 modern features (Word, Excel) as needed.
  • Documentation: Create and maintain manuals, fact sheets, and guides in a consistent manner to support end users.
  • Training Delivery: Design and deliver both face-to-face and remote training sessions using in-house training tools.
  • Reporting: Prepare and maintain reports, presentations, and correspondence related to training and change management activities.
